The Booking extranet explained: what is in each menu, what to touch, the Pulse app and how to give a manager access

The extranet is your listing's dashboard on Booking: calendar, bookings, messages, reviews, invoices and programmes. What is in each menu, what not to touch and how to give someone else access without your password.

Applies to: good management practice, not a legal rule

Short answer: the extranet (admin.booking.com) is the dashboard from which a property is managed on Booking. Its main menus are Rates & Availability, Promotions, Reservations, Property, Inbox, Guest reviews, Finance, Analytics and Boost performance, plus the Account icon for users, contracts and channel manager. The Pulse app does the basics from your mobile. For someone else or a manager to help you, create a user for them with their own permissions; do not share your password.

The names can vary slightly: Booking's own help sometimes calls the listing menu "Property" and at other times "Establishment", and the menu that is Finance in English appears as Administración in Spanish (October 2026).

What is in each menu?

Menu What it is for What is worth knowing
Home Summary of the day and alerts This is where alerts about pending tasks appear, such as verifying the flat
Rates & Availability Calendar (list or monthly view): open or closed dates, units for sale, prices, rate plans, minimum stay, "automatic sales" A date in red cannot be booked; the label says why. Booking recommends keeping the calendar open far in advance because people book up to 16 months ahead
Promotions Deals and discounts They are explained in Genius and Booking deals
Reservations List and details of each booking From here you request a cancellation, mark a no-show or an invalid card (how) and message the guest
Property Photos, description, facilities, Policies (payments, cancellation, pre-authorisation), Message preferences (templates) and VAT/tax/charges You cannot change the VAT and tax settings yourself: you request the change from Booking through the inbox
Inbox Reservation messages (guests) and Booking.com messages (questions about invoices, incidents) It is the written channel with Booking; see contacting Booking
Guest reviews Read and reply to reviews Reply in the language of the review or in English; Booking checks the reply before publishing it; it can only be edited from the extranet
Finance Invoices, reservation statements, payouts, bank details Everything is in Booking payments and invoice
Analytics Room nights sold, demand in your city, booking trends, booking window, cancellations, competitive set If you change the competitive set, you cannot change it again for 30 days
Boost performance Genius, Preferred Partner Programme, Visibility Booster and the Opportunity Centre Some programmes raise your commission
Account (user icon) Create and manage users, Contacts, Contracts, Connectivity provider, Compliance centre, My devices Some pages are only visible to the primary account

What is best left alone unless you know what you are doing?

  • The property type: it is chosen when registering and Booking warns that it cannot be changed afterwards; you would have to start again (listing the flat).
  • Prices and calendar if you have a channel manager: whatever the software manages (you will see it in green on the connection management page) is changed there, not in the extranet, or the changes will overwrite each other.
  • Marking a no-show too early: it cancels the booking and notifies the guest.
  • Leaving Genius: you can leave whenever you like, but you may have to wait six months to rejoin.
  • Switching from virtual card to bank transfer: there is no going back.

What is the Pulse app?

It is Booking's app for properties, for iOS (16 or higher) and Android (10 or higher). With it you can change the calendar, see arrivals and departures, receive alerts about bookings and cancellations, reply to guests and reviews, mark no-shows and invalid cards, see invoices and create promotions. You log in with the same username and password as the extranet, verifying your mobile the first time.

It also generates the PIN code for the extranet's two-factor verification (it also arrives by SMS). Booking recommends the extranet for substantial changes (rate plans, restrictions, "automatic sales") and Pulse for quick day-to-day changes.

How do I give access to someone else or to a manager?

Booking has these account types:

Type What it can do
Primary The one created when signing with Booking. It sees the agreement, the compliance centre (KYP form) and financial details; it can add or transfer properties. There can be several
Administrator Access to all areas and manages other users. There must always be at least one
User Standard account for the team, with the permissions it is given
Connectivity provider For the channel manager, with limited access

Steps to invite someone:

  1. Click the Account icon → Create and manage users → Invite new user.
  2. Enter their name and email address and click Next step: set access rights.
  3. Tick the permissions: Reservations, Rates & Availability, Property details, Performance data, Finance, Promotions, Notifications, Programmes, Manage users and Connectivity provider.
  4. Click Send invitation. To remove their access, find them in the list and click Manage.

Each person logs in with their own username and their own two-factor verification. Booking advises against sharing login details: it raises the risk of the account being compromised and, besides, the PIN arrives on the account holder's mobile, so the other person is locked out. Bear in mind too that accounts unused for more than six months are locked and those unused for more than 24 months are deactivated.

If the listings are in your name, the sensible thing is for you to keep the primary account and for the manager to work with a user account: if you change manager, you remove one user and add another (Who holds the listing? and changing manager). If you invite someone to create another primary account, Booking notifies all existing primary accounts by email, and they can cancel the invitation.

How is a channel manager connected?

  1. Sign up for the software with the provider (Booking shows a list of recommended ones).
  2. In the extranet: Account → Connectivity provider → search for yours.
  3. Choose what it will manage: rates and availability, reservations, content and photos (only some providers) and guest messages.
  4. Accept the terms and click Connect. The provider receives your request, does the setup and you get a notification when the connection is active.

You can change provider without disappearing from Booking: the previous one stays connected until the change is complete. Changes sent by the software can take up to five minutes to show. If a booking does not appear in the channel manager, Booking notifies you by email, so keep your Contacts up to date. And a practical detail: Booking no longer passes the guest's phone number to channel managers; it is in the extranet and in Pulse. What a channel manager offers compared with full management is in channel manager or full management.

What does a manager do with this?

They work inside your extranet with their own user account and the permissions they need, connect the channel manager and check bookings, messages and alerts every day. At TGV, if the owner leaves the management, they keep the listings, the reviews and the photos.
